On Sunday evening, we’ll be launching a new Owl feature called Linked Accounts designed specifically for those of you who do Couples and Family Therapy.
It allows you to describe relationships between individuals (such as a family), manage the attendees for these multi-person appointments, and simplify associated note-taking.
What are Linked Accounts?
Linked Accounts let you link two or more client profiles together. For example, for a family you can link Megan Somora together with her partner Daniel, and her dependents Luke and Violet. Linked accounts are reciprocal, so once you’ve set up Luke as a dependent of Megan, Luke’s profile will show Megan as a linked parent account.
How do Linked Accounts work?
Once you’ve linked accounts, you can schedule Family or Couple therapy (for Services described as “Family” or “Couple” Types in your Fee Schedule), and you’ll see Owl automatically include a list of suggested attendees based on the type of session.
For example, if you set up a Family session for Megan, Owl will include Daniel, Luke and Violet as attendees. You can always remove a person from the session by clicking on the “x” next to their name in the Edit Session window.
Sessions with multiple attendees also show up differently on invoices, receipts, account summaries, and notes. For multi-person sessions, you’ll see that the “Attended” Attendance state is replaced by a list of the people who attended that session. No Shows and Cancellations still show up as before. When creating a note you’ll see a list of session attendees, and see this information displayed on printed and pdf’ed notes too.
As these sessions apply to multiple people – all the attendees of a session – the sessions will be listed in each attendee’s Sessions & Notes tab, as will the Note for that session (there is a single note for these sessions that is linked to each attendee’s profile). From a billing perspective, however, the amount charged only shows up in the primary client’s profile (the “Client” as described in the Edit Session window when the session was originally set up).
Where can I find Linked Accounts?
You’ll see this new feature in two places:
- Contact & Clinical – you’ll see a new “Linked Accounts” area (bottom left)
- All Clients – you’ll see a new tab for Linked Accounts listing all linked groups
